Resource Manager
APPLY NOWProof Strategies is looking for an experienced Resource Manager. Working closely alongside the Director of Production and the Creative Director, the Resource Manager provides support across all creative and production asks at the agency, with some support on digital asks as a potential future need. This includes intaking and managing new project requests, helping determine project scope and resource allocation, and supporting on developing budgets and workback schedules for a variety of deliverables. They hold the very important birds-eye view toward everything coming in and out of the department, who is working on what, who has capacity, and works with teams to re-prioritize as needed.
The Resource Manager plays an integral role in contributing to the growth of the agency and is a vital role to the team. They ensure optimal resource allocation, cost efficiency, adaptability and scalability, and improved team productivity – all of which lends to the agency’s ability to consistently meet client expectations and remain competitive and responsive.
This is a full-time hybrid role with an expectation of 6-8 days per month worked out of the Proof Toronto offices at 33 Bloor St East.
What you’ll do
- First point of contact and hub for all creative and production requests.
- Collaborate with Creative Director and Director of Production, and internal stakeholders, in scoping, resourcing, and assigning all creative and production deliverables.
- Requirements gathering for accurate scoping needs and risk mitigation.
- Implements resource changes against evolving priorities.
- Scoping flexibly against realities of budgets and timelines.
- In partnership with Creative Director and/or Director of Production, identifies the best team based on the project needs, considering profitability, budget, timing, and skillset, ensuring the agency can maximize productivity and minimize downtime or overloading of resources.
- Support in developing creative and production budgets and workback schedules, including setting up assignments and tasks for each resource once approved, using Function Point.
- Liaise with external creative, video, and digital partners as needed to promptly secure resources for projects.
- Facilitate communication and collaboration within the creative team and across departments to ensure seamless project execution.
- Ensure projects and teams are properly staffed and run efficiently to meet deliverables.
- Collaborate with Project Manager(s) throughout lifecycle of projects and steps in during project crises to reallocate resources, adjust schedules, and find quick solutions to keep projects on track.
- Leverage tools such as Function Point for ongoing resource allocation management to optimize team capacity across projects effectively.
- Run daily creative and production scrum meetings and maintain status document.
- Anticipate and mediate work-flow problems.
- Monitor team capacity in Function Point and tailor approach based on capacity realities.
- Play a role in onboarding new creative and production team members, ensuring they are familiar with agency workflows and project management tools like Function Point.
- Promote diversity and inclusion within project teams by actively considering diverse skill sets and backgrounds when allocating resources.
- Provide resource management support to Head of Digital as a potential future responsibility.
What you’ll bring
- 4 years of professional experience in a resource management role.
- Proven ability to manage creative and production resource workflow and allocations.
- Working knowledge of the production process(es) for a variety of creative deliverables (from video content to asset creation to larger creative campaigns).
- Has an excellent understanding of each resource’s professional aptitudes and a keen knowledge of timing involved to accomplish assigned tasks.
- Experience in project scoping, risk mitigation, and contingency planning.
- Strong track record in liaising with, collaborating with, and forming productive working relationships with stakeholders (internal and external).
- Working experience with Function Point for budget, schedule, and task management.
- Agency experience is an asset.
- A willingness to grow within the agency.
