Crafting Connection: Intentionality, partnership and strategy in event-based communications

Events are among the most powerful tools in communicators’ toolkits. When done right, they’re more than just gatherings — they’re stories brought to life, opportunities for connection, and catalysts for collaboration.

The Proof Block Party is a prime example of how thoughtful curation, meticulous attention to detail, and an experience-first approach can transform a brand interaction into a truly memorable moment. Here’s our playbook for crafting connections through events:

The right location: When choosing a location, consider how its atmosphere, architecture, and accessibility contribute to the experience you want to create. The right setting should support your message, not just house it.

Tucked away in Toronto’s west end, Gallery TPW, is a hidden gem that provided a creative, welcoming atmosphere. It set the stage for participating brands to think beyond traditional activations and focus on creating an experience that resonated with audiences like media, creators, and partners in a memorable way.

The right partners: Look for partners, not just vendors. Partners should be collaborative, understand your brand’s DNA, your audience, and your goals.

Event designer Caspar Haydar Design and décor partner Element Event Solutions brought Proof’s Block Party vision to life. Together, we curated details that kept the featured brands front and center.

“We believe that collaboration is key to bringing ideas from concept to reality. Creating a space where brands can shine and the experience feels authentic is what drives us. Seeing those connections happen—and knowing we helped make that possible—that’s what makes it worthwhile,” says Neisha Parekh, national director of marketing and public relations, Element Event Solutions.

The right vibes: Energy matters! Consider how music, lighting, and other sensory elements will shape how people feel – because that’s what they’ll remember.

With  DJ Lissa Monet at the helm, the sound matched the energy in the room. Her ability to get a feel of the room and adjust the vibe through music shaped the overall experience, keeping guests connected.

“Every set I create is more than just playing songs—it’s about creating a vibe. I’m always five steps ahead when it comes to mixing music. I know that playing a song at the right time can transform a room, pull people in, lift spirits, and set the tone for moments that could be remembered later on through music,” says Monet.

The right guests: Guest curation is a strategy, not just a process. A thoughtful mix of attendees should reflect your brand’s values, encourage new connections, and set the tone for meaningful conversations.

Proof’s Block Party was designed to showcase brands and product launches, but also spark discovery and genuine connection. The guest list was intentionally curated across industries — tech, lifestyle, music and hospitality – to ensure every interaction had the potential to inspire something new.

Bringing it all together the right way: With experiences designed around what your audience truly values, you don’t just stand out – you connect.

Guests discovered listen-worthy holiday offerings from Audible Canada, the latest and greatest tech from Best Buy Canada, Microsoft Canada, Ray-ban Meta and more. Guests arrived in style and ease with Lyft, and with our BYOT program, guests brought their own totes (because who needs another one?!) and filled them with pantry staples from Catelli Pasta and Pace, along with snacks for doggos from Caledon Farms and Crumps’ Naturals.

TikTok Canada creators took center stage showcasing the talents that have enabled them to build communities on the platform. Oorbee Roy (aka Aunty Skates) led skateboarding sessions, Aïcha performed a heartfelt dance with her father, and Tesher hyped the crowed with performances of viral hit “Jalebi Baby” and latest single “Ve Mundeya.” Entrepreneurs behind XXL Scrunchie, Butter and Spice Bakeshop, and Street Brew Coffee, who found their success on TikTok, brought their products directly to the people.

“Proof does events where I see myself represented—not only in the brands, but also in the people you bring together. An A+ community gathering!” says content creator Taha Arshad.

With the right partners, thoughtful planning, and a shared purpose, a simple gathering can become something bigger: a moment where brands shine, ideas spark, and real connections form.
